Full Job Description
Business and Facilities Support Manager will support the Interim Director of Finance and Business Support in overseeing Facilities, H&S, and IT at Solace. You provide a comprehensive, proactive, inclusive and customer-focused service to Solace staff and volunteers.
Management of the Business Support Team
· Manage the Business Support Team for efficient job execution and internal policy compliance.
· Develop and maintain team workplans, including individual development plans aligned with organisational plans and objectives.
· Maintain relevant business continuity plans at Head Office and related policies and procedures.
· Undertake and attend regular manager, team meetings, and staff supervisions.
Health and Safety (H&S)
· Oversee H&S, collaborating with the Senior Management Lead for H&S, and ensure that staff and volunteers are protected from risks.
· Act as a key partner in the H&S Committee, support and upskill internal H&S representatives and collaborate with external advisors to identify risks, needs and opportunities.
· Conduct and review fire and workplace risk assessments for different sites.
· Quality assurance of general and specific risk assessments conducted by Managers at different sites.
· Provide H&S training and advice to staff and volunteers, promoting safety culture within Solace.
Facilities
· Manage all aspects of facilities (Reception and Head Office), office equipment and supplies, maintenance, and storage.
· Liaise with landlords, ensuring site service and maintenance requirements are in place and in accordance with contract agreements.
· Maintain preferred supplier and contractor lists for maintenance and facilities procurement.
· Handle project management and liaison for new offices, services, refuge accommodation and office moves, including building access audits.
· Manage DSE and approved home working arrangements and devise and manage facilities and maintenance schedules in collaboration with service managers and senior managers.
Information Technology
· Routine management of Solace's external IT support provider.
· Manage replacement equipment programme for laptops, mobiles, and accessories with Business Support (IT) Coordinator and managed IT/telephony provider.
· Oversee telephony project implementation with Interim Director of Finance and Business Support.
· Maintain systems, accurate central registers and records manually and via SharePoint with Business Support Coordinator.
· Enhance cyber and related regulations accreditations.
General
· Produce quarterly H&S reports and other management reports for senior stakeholders identifying trends and recommendations.
· Manage property/facilities insurance claims.
· Develop and implement policies and practices collaboratively with other senior leads.
· Ensure that any safeguarding concerns identified are dealt with in accordance with Solace safeguarding policy.

Knowledge, Experience and Skills
· Experience in H&S management and office and facilities management.
· Project management experience, including outsourced IT provider.
· Training in H&S, fire risk assessments, building services for statutory and regulatory compliance (e.g., certificate in Fire Risk Assessment, IOSH - Managing Safely/NEBOSH Certificate or Diploma)
· Experience in working with external stakeholders, department heads and internal and external relationship-building.
· Proficient in IT tools and software packages, understanding of cyber and other associated risks.
· Proficient in delivering training and skilled in presenting information.
· Commercial and business acumen, working knowledge of GDPR, confidentiality and professional boundaries and policy development.
· Experience in reporting quarterly management information for H&S and Facilities.
· Accurate, methodical and efficient in managing own time and varied tasks.
· Flexible to move between Head Office and sites within London.,
